Air conditioning servicing for offices and server rooms

A contract per building and every unit in one visit, by arrangement outside office hours too. Also for the air conditioning that cools your server room.

OFFICES AND COMMERCIAL BUILDINGS

Every unit in your building, at a time that suits you

You take out a contract per building, and we book the service every year for all the air conditioning in it. By arrangement, we can also come outside office hours, to keep disruption to a minimum.

The legal rules for larger systems are below, under leak checks and records.

SERVER ROOMS

Air conditioning that can't stop

If air conditioning cools your server room, it often runs day and night, all year round. If it stops, the temperature rises fast.

At every service the technician checks, among other things

  • Operation
  • Temperature
  • Condensation drain

With a maintenance contract, you go to the front of the queue if it stops working.

If it runs all year round, twice a year can make sense.

LEAK CHECKS AND RECORDS

Large system? Then leak checks apply

If a system holds 5 tonnes of CO2 equivalent or more in refrigerant, a certified technician has to check it for leaks (Article 5, Regulation (EU) 2024/573). CO2 equivalent is the weight of the refrigerant in tonnes multiplied by its global warming potential; for R32 that's 675. With R32, the threshold is therefore about 7.4 kilos. An ordinary split system with about 1 kilo of R32 comes to 0.675 tonnes, well below it.

For a system like this, you keep records: which refrigerant it holds and how much, what was added and when, who worked on it and their certificate, and the dates and results of the checks. Keep them for at least five years (Article 7).

The duty lies with the operator: whoever actually controls how the system runs. The threshold applies per system, so ten separate air conditioners in one building aren't added together. The amount of refrigerant is on the label on the outdoor unit; any refrigerant added during installation counts too. If the label says ‘hermetically sealed’, the threshold outside residential buildings is 10 tonnes.

Not sure whether your system falls under it? Give us a call and we'll look at it with you.

LEAK CHECKS

The more refrigerant, the more frequent the checks

  1. 5 to 50 tonnes

    Amount (CO2 equivalent)

    Without a leak detection system
    At least once a year
    With a leak detection system
    At least every two years
  2. 50 to 500 tonnes

    Amount (CO2 equivalent)

    Without a leak detection system
    At least every six months
    With a leak detection system
    At least once a year
  3. 500 tonnes or more

    Amount (CO2 equivalent)

    Without a leak detection system
    At least every three months
    With a leak detection system
    At least every six months

From 500 tonnes, a leak detection system is compulsory, and the leak detection system itself has to be checked every year.

HOW WE WORK

What you can expect from us

Rein takes readings at an outdoor unit on a flat roof, with tools and cases around him.

All your units in one round

We book the air conditioners in one building back to back, and several buildings by area where we can. So we don't make a separate trip for each unit.

Priority if something fails

With a maintenance contract, you go to the front of the queue when an air conditioner stops working.

Nothing extra without your go-ahead

If the technician spots something that needs extra work, you'll hear what it is and what it costs first. We only go ahead once you've said yes.

WHAT IT COSTS

A fixed price a year

You pay a fixed price a year for the Professional Air Conditioning Service. What you pay depends on the number of indoor units; prices assume one outdoor unit and include VAT. If you have more systems, more buildings or more than four indoor units, we'll work out the price for you.

QUESTIONS

Good to know for offices

Does air conditioning in an office need an inspection?

No. The inspection for air conditioning systems over 70 kilowatts, once every five years, was removed from the Dutch Buildings Decree on 29 May 2026. What remains is the leak check under the F-gas Regulation, for systems from 5 tonnes of CO2 equivalent.

Does every air conditioner in our building need a leak check?

No. The leak check applies per system, from 5 tonnes of CO2 equivalent in refrigerant. An ordinary split system with about 1 kilo of R32 comes to 0.675 tonnes, well below that threshold, even if there are twenty of them in the building. A large shared system can be subject to the leak check, though; you'll see that on the label on the outdoor unit.

How often does air conditioning in an office or practice need a service?

Usually once or twice a year. It depends on how hard it works and where it's installed: in a kitchen, a salon or a dusty workshop it gets dirty faster. At the first service, the technician will tell you what your system needs.

What if the air conditioning in the server room breaks down?

With a maintenance contract, you go to the front of the queue. Call us and tell us the brand and whether a light is flashing. What happens when you call.

Do you service my brand?

Very likely. We service all the common brands, such as Mitsubishi Heavy Industries, Mitsubishi Electric, Daikin, LG, Panasonic, Toshiba, Samsung and Haier, even if another company installed your system.

Tell us what's in your building

How many air conditioners, which brands, and whether there's a server room. We'll work out what servicing costs, and you can always call.
